AI knowledge base for companies — answers instead of search results

Your employees search 1.8 hours a day. Not for customers. For information.

Syntact puts an AI assistant on top of the repositories you already have: file server, SharePoint, wiki, email, ERP records. Your people ask in plain language — and get the answer with source and page number. The documents stay where they are.

New hire · week 3

“How do I file a claim for a wrong delivery from supplier X? And who has to approve it?”

Today: search the file server, check the wiki, ask three colleagues
Answer · knowledge assistant
Sources verified
1. Fill in claim form F-23 — deadline: 5 working days from goods receipt
2. Attach the delivery note and a photo of the shipment, reference the transaction in the ERP
3. Approval: head of purchasing for order values above €500

The status quo

The knowledge exists. Nobody can find it.

It sits in PDFs on the file server, in SharePoint libraries, in a half-maintained wiki, in email threads — and in the heads of your longest-serving employees. Spread across so many places that asking is faster than looking it up.

Your most expensive search engine is your staff.

Knowledge workers spend up to 1.8 hours per day searching for information (McKinsey Global Institute). Not with customers, not on orders — in folders, wikis, old emails, and the eternal question of who might know.

When the 30-year veteran retires, the knowledge retires too.

How to handle the special case for customer X, why machine 4 is set up differently, what was agreed with supplier Y: none of it is in a manual — it lives in heads. And those heads are retiring in waves over the next few years.

Onboarding takes months because everything lives in heads.

New hires aren't slow — they just have no access. Every answer has to be asked for, every process demonstrated. As long as knowledge is passed on verbally, every onboarding is a project of its own.

The same questions, over and over.

“How did that complaint process work again?” — for the tenth time, to the same colleague. The answer lands in a chat and is gone by tomorrow. Your most experienced people work as a living FAQ instead of doing what you pay them for.

The search mechanics

An unanswered question never costs just one question.

Every question that isn't answered in seconds kicks off the same cascade: first search, then ask, then guess. And because the answer never lands anywhere, it starts over tomorrow — with every employee, with every question.

With Syntact, the answer is there in seconds — with source and page number, and without pulling a colleague out of their work.
Search yourself

File server, SharePoint, wiki, mail archive: four repositories, four search boxes, no answer. After ten minutes it's clear — you won't find it this way. On to step two.

Ask three colleagues

The question travels through chat, phone, and the coffee kitchen. Three people get pulled out of their work — one of them your best engineer, once again working as a living FAQ instead of on their project.

Risky
Decide by gut feeling

When the answer can't be found, people improvise: the old price list, an outdated work instruction, “that's how we've always done it.” The mistake only surfaces once it has cost money.

Same question tomorrow

The hard-won answer ends up in a chat thread and disappears. The next colleague with the same question starts from zero — search time is a perpetual motion machine.

Let's do the math

What does all that searching cost you — the cost nobody questions?

Conservative math: 220 working days/year. For perspective: the McKinsey Global Institute puts knowledge workers’ search time at up to 1.8 hours per day — the top end of the slider. Bad decisions based on outdated documents and the interruptions of the colleagues who have to answer aren’t even counted yet.

Pure search time — per year
€880,000
80 employees × 60 min × 220 days = 17,600 h of searching — every year
I want that time back
How it works

Ask questions instead of searching.

No new wiki, no migration project, no content editors: your documents stay where they are. The assistant sits on top — and turns your repositories into a knowledge base that answers.

01
Connect your sources

File server, SharePoint/M365, wiki or Confluence, mailboxes, ERP records: Syntact connects to the repositories you already have. Nothing gets migrated, nothing reorganized, nobody has to maintain or tag documents.

02
Ask questions like you'd ask a colleague

“How do I file a claim for a wrong delivery from supplier X?” — in plain language, in the browser or in Teams. The assistant searches all connected sources at once and respects each employee's existing access rights.

03
Get the answer with source and page number

Every answer names the document and page it comes from — one click and the original is open. If something isn't in your documents, the assistant says exactly that instead of guessing.

The assistant answers only from your documents — and says so when something isn't in there. No inventions, no black box.

The difference

Search finds documents. Syntact answers questions.

40 hits for the keyword “claim” are not an answer. The answer is: “Form F-23, approval by head of purchasing above €500 — QM manual, page 47.” That's exactly what the knowledge assistant delivers.

Answers with source and page number

No black box: every answer points to the document and page it came from. Your team can verify any statement in seconds — trust is built on evidence, not claims.

Existing access rights are respected

If someone can't open a document, they don't get answers from it either. Syntact inherits your permissions from M365, file servers & co. — payroll lists and board minutes stay exactly where they belong.

Documents stay in your systems

No migration project, no new wiki that nobody maintains. Your repositories stay as they are — the assistant sits on top and reads along. Ready to go without your team moving a single file.

Understands tables, contracts, technical docs

Price lists with volume tiers, maintenance manuals, framework agreements, scanned legacy documents: the assistant reads what actually sits in your company — not just clean prose.

Says honestly when something isn't in there

If the assistant finds no reliable source, it answers: “That's not in the documents” — instead of delivering a plausible invention. That's what separates a tool for operations from a chatbot for marketing.

GDPR-compliant, operated in the EU

Operated in the EU, in your own cloud or on-premises if you prefer. Your documents never train third-party models, every access is logged — and we ship the documentation your data protection officer needs.

More than search

Knowledge retention before the veteran leaves. Onboarding that answers itself.

A knowledge base that answers changes two things fundamentally: what's documented no longer retires with its author. And new hires ask the assistant — not their colleagues, for three weeks straight.

Same platform, next use case: Syntact also answers IT support requests automatically — from the same knowledge base.
A retirement wave without knowledge loss

Your most experienced people's knowledge sits in emails, meeting notes, manuals, and records — the assistant makes it queryable while the authors are still around. And it shows you in black and white where documentation is actually missing, so you fill gaps deliberately instead of on suspicion.

Onboarding in weeks, not months

New hires ask the assistant the questions they don't dare ask a colleague for the third time — and get sourced answers instead of hearsay. Your experienced people stay on their own work instead of serving as a living FAQ.

Integrations

Your repositories stay. Syntact reads along.

Your system isn't on the list?

We build missing connectors for free — contractually guaranteed. Compatible with anything that stores documents or has an API.

The pilot offer

We carry the risk. You keep the control.

A knowledge base pilot on your real documents, with your access rights and your team's actual questions — on terms where doing nothing is the most expensive option.

Live in production within 90 days — guaranteed

If your knowledge assistant isn't live in production after 90 days, we keep working for free until it is.

€0 license until production

You pay no platform license until the pilot runs in production. The risk sits with us.

Setup & connection of your source systems included

File server, SharePoint, wiki, mailboxes — including inheritance of your access rights. Set up, not just sold.

A Solutions Architect at your side

90 days of direct access to the person building your use case — no ticket system, no call center.

50/50 implementation guarantee

If the pilot doesn't go to production, you pay only half the implementation.

Connector guarantee

Missing an interface to your system? We build it for free — contractually guaranteed.

FAQ

Questions from CEOs, operations & IT.

Your question is missing? Ask us directly.

Our file storage is a mess — will this still work?
That's exactly what the assistant is built for. It doesn't need a clean folder structure, tagging, or a maintained wiki — it reads your documents the way they sit today: nested network drives, duplicate copies, historically grown naming. And as a side effect, you'll see in black and white where documentation is actually missing, instead of just suspecting it.
Does the AI hallucinate — can I trust the answers?
The assistant answers exclusively from your connected documents, and every answer names its source and page number — one click and you see the original. If it finds no reliable source, it says “That's not in the documents” instead of delivering a plausible invention. Verifiability is the design principle, not a feature.
What about confidential documents and access rights?
Your existing permissions keep applying: anyone who can't open a document in SharePoint or on the file server won't get answers from it either — directly or indirectly. Payroll lists, board minutes, and HR files stay as confidential as they are today. We set up the permission inheritance together with your IT during the pilot and test it before anyone works with it.
Our IT says: we already have SharePoint search.
Search finds documents — the assistant answers questions. That's the difference between 40 hits for the keyword “claim” and the concrete answer “Form F-23, approval by head of purchasing above €500 order value — source: QM manual, page 47.” Your employees don't want to work through a results list, they want the answer. And SharePoint search stays exactly as it is — the assistant sits on top.
Which formats and sources are supported?
PDFs, Word, Excel, PowerPoint, scanned legacy documents, emails, wiki pages — including tables, contracts, and technical documentation. As sources, we connect file servers and network drives, Microsoft 365/SharePoint, Confluence, mailboxes, and ERP records. If an interface to your system is missing, we build it for free — contractually guaranteed.
We don't have time for a knowledge management project.
That's why this isn't one. A classic knowledge management project means migrating content, defining structures, appointing editors — and in two years nobody maintains it. Here, everything stays where it is. Your effort during the pilot: name the sources, grant access, ask real questions. The setup is done by our Solutions Architect, not by your team on the side.
How long until we're live in production?
The pilot is designed for 90 days to production — guaranteed. We deliberately start with one area, for example the QM manual and purchasing guidelines, instead of the whole company at once. That way your employees see first answers to real questions within a few weeks — and more areas follow as trust builds.
What happens when documents contradict each other?
Honest answer: that happens in every company — the 2023 price list next to the 2024 one, two versions of the same work instruction. In that case the assistant shows both sources with their locations instead of silently picking one. Your team sees the contradiction explicitly for the first time — and can fix it, instead of every employee randomly landing on one of the two versions.
What will the works council and data protection officer say?
The assistant answers questions about documents — it doesn't rate employees and doesn't build performance profiles. It runs GDPR-compliant in the EU, in your own cloud or on-premises if you prefer; your documents never train third-party models. We ship the documentation for data protection officers and works councils — including a description of which data is processed where.
What does it cost — and does it pay off at 50 employees?
The platform starts at €800 per month — the license only runs once you're in production, and the implementation is covered by the 50/50 guarantee. For perspective: even at 50 employees and a conservative 30 minutes of search time per day, more than 5,000 hours of searching per year sit on the other side of the ledger. In the demo call, we calculate the business case with your numbers.
How do I convince my leadership team?
You don't — let the demo do it. Bring five questions your team actually had this week, plus the manuals where the answers live. When leadership watches “ask three colleagues” turn into a sourced answer in seconds, the conversation changes. You'll also leave with the price in black and white and a concrete 90-day plan — ready for a decision.
