PO in the inbox, order in the ERP — without anyone typing.
Syntact monitors your order intake: PDFs, emails, and fax scans are read, validated against your master data and price lists, and created as a finished sales order ready for approval. Your team reviews exceptions — instead of retyping orders.
"Dear Sir or Madam, per our framework agreement we hereby order: Item 1: 24 pcs. art. K-5501-B … Item 7: 6 ctns. gasket set, same as last time. Delivery by week 32 to our plant 2 …"
Your customer already wrote the order. Your team writes it again.
Not because your inside sales team is slow — but because there's a media break between the inbox and the ERP entry screen, and until now, people have been the bridge. Every day, on every order.
You hired inside sales to look after customers and follow up on quotes. Instead, they retype purchase orders the customer already wrote digitally — four to eight minutes per order, every single day.
Wrong part number, shifted quantity, outdated price: the error surfaces at the customer's dock. Then come the complaint, the return, and the credit note — and the same order ties up sales, warehouse, and accounting a second time.
This morning's order gets keyed in after lunch — when someone finds the time. Miss the shipping cut-off and you deliver a day late. Not because your warehouse is slow, but because order entry is waiting in a queue.
More orders today means more manual entry — but skilled back-office staff are nearly impossible to hire. Your sales bottleneck isn't at the customer. It's in the ERP entry screen.
A typo never costs just a typo.
Manual order entry has two built-in costs: the time it always takes — and the error chain it regularly sets off. Both scale with every additional order.
Part numbers swapped, a quantity off by a digit, units confused — in the daily rush, nobody notices. The order flows through picking and shipping like any other.
Complaint, return, credit note, redelivery: the same order keeps inside sales, warehouse, and accounting busy a second and third time — shipping costs and an annoyed customer on top.
If the 10:14 am order gets entered at 3:30 pm, the shipping cut-off is gone. Your competitor delivers tomorrow — you deliver the day after. Customers remember that.
Whatever arrives in the evening, on Friday afternoon, or during vacation season waits in the inbox until the next working day. Automated order entry works through the night — your team doesn't have to.
What does the retyping cost you that nobody questions?
Conservative math: 220 working days/year, pure entry time only. Error costs from returns and credit notes, missed shipping cut-offs, and lost selling time aren't even counted yet.
Review orders instead of retyping them.
No customer portal, no new order format, no re-educating your customers: orders keep arriving exactly as they do today. Only the entry work moves to the AI — embedded in your existing system landscape.
A PDF in the shared inbox, a free-text email, a fax scan, or a phone note: Syntact monitors your order intake — nobody has to forward, upload, or rename anything. Orders with 3 line items or 300.
The AI identifies the customer, line items, quantities, dates, and delivery addresses — and checks every line against your ERP master data: customer part numbers are mapped, prices and terms verified. Anything ambiguous gets flagged, not guessed.
Your team sees the finished order draft next to the original document: review the exceptions, approve — the order is in your ERP and the confirmation goes out. Hours of typing become minutes of control.
Approval stays with your team: no order is created without your inside sales team's okay. The AI proposes — people decide.
Document OCR extracts fields. Syntact turns them into a validated order.
Extracted data that nobody has checked against items, prices, and terms is only half the journey. The order in your ERP is the destination — everything before that is an intermediate step.
Today the same purchase order travels through the inbox, the ERP entry screen, and the order confirmation. With Syntact, everything derives from one pass — from the original document to the approved order.
Extracted fields are an intermediate result. An order whose lines have been validated against your part numbers, price lists, and customer terms is actual work saved. That is what separates Syntact from plain document OCR.
Your team keeps working in the system they know. Syntact is the platform underneath — not another island where orders live a second life.
Not every order arrives as a PDF: your team dictates phone orders via a Teams call — Syntact turns them into the same structured order. No sticky notes, no "I'll enter it later".
Unknown item, unclear quantity, deviating price: Syntact doesn't guess — it puts the case in front of your team for a decision, with the original document right next to it. Trust comes from control, not from a black box.
After order entry, invoice processing, delivery notes, or your knowledge assistant run on the same platform — one foundation, and every additional use case gets cheaper.
Your ERP stays. Syntact feeds it.
Orders come from the inbox, sales orders land in the ERP — via API or standard interface, with your master data as the reference. No system migration, no parallel operation.
We build missing connectors for free — contractually guaranteed. Compatible with anything that offers an API or an import format for sales orders.
We carry the risk. You keep the control.
An order entry pilot on your real order intake, with your master data and your inside sales team — on terms where doing nothing is the most expensive option.
If your order entry isn't running in production after 90 days, we keep working for free until it is.
You pay no platform license as long as the pilot isn't in production. The risk sits with us.
Inbox connection, master data matching, and your approval workflow — set up for you, not sold to you.
90 days of direct access to the person building your use case — no ticket system, no call center.
If the pilot doesn't go to production, you pay only half the implementation.
Missing an interface to your system? We build it for free — contractually guaranteed.
The mechanism is already running — for real customers, on real documents.
Syntact reads documents like invoices and writes the structured data straight into the target system — the same mechanism that turns your purchase orders into sales orders. Syntact is the enterprise AI foundation platform: one foundation for every use case, operated in the EU, all the way to on-premises.
- Orders, documents, and master data in one semantic data layer
- Permissions & audit log at every level
- After order entry: invoice processing, delivery notes, knowledge assistant — same platform
With Syntact, we successfully unified all our product, pricing, and logistics data and achieved ROI from the very first use case.
30 minutes. Your POs. A finished ERP order.
No slide deck: bring three to five real customer POs — we'll show you how they become validated sales orders. On your documents, not on our demo dataset.
- Feasibility on your order intakeLive demo based on your POs — formats, edge cases, everything.
- A concrete 90-day pilot planSteps, timeline, and what we need from your IT (very little).
- Pricing in black and whitePlatform, implementation, guarantees — no surprises.
- An engineer, not a salespersonYou talk to the solutions architect who will build the pilot.
- What does automated sales order entry mean?
- Incoming purchase orders — PDF attachments, free-text emails, fax scans, or phone notes — are read and structured by AI, then validated against your ERP master data: customer, items, quantities, prices, dates. The result is a finished sales order in your ERP that your team only reviews and approves instead of retyping.
- Does it work with our order formats — PDF, free text, scans?
- Yes. Syntact works without per-customer template training: order forms, free-text emails, multi-page PDFs with line-item tables, and fax scans are all processed alike. Whatever the AI cannot match unambiguously is flagged for review, never guessed. In the demo we show this on your real orders — not on our demo dataset.
- How does item matching work with customer-specific part numbers?
- Many customers order using their own part numbers, free-text descriptions, or different units of measure. Syntact validates every line against your master data — part numbers, customer part number mappings, price lists, and terms — and learns from every confirmed match. Cartons instead of pieces, an outdated part number, tiered pricing: checked before the order is created.
- What happens with unclear or faulty orders?
- They land in a review queue: your team sees the order draft next to the original document, decides the flagged items, and approves. The AI proposes — people decide. For unambiguous orders from regular customers, fully automated processing can be enabled once trust has been earned during the pilot.
- Which ERP systems does Syntact support?
- We connect your existing ERP — we don't replace it. Typical connections include SAP S/4HANA, SAP Business One, Microsoft Dynamics 365 Business Central, proALPHA, abas, Sage, weclapp, and Odoo, via API or standard interface. If a connector is missing, we build it for free — contractually guaranteed.
- How long does implementation take — and what does our IT need to do?
- The pilot is designed to reach production within 90 days — guaranteed. From your IT we need little: access to the order inbox (e.g. a Microsoft 365 shared mailbox), an ERP interface or export format, and a master data extract. Our solutions architect does the setup — not your team on the side.
- From how many orders per day is this worth it?
- As a rule of thumb: from about 20 to 30 manually entered orders per day. At 30 orders × 6 minutes, that's around three hours of typing daily — over a year, considerably more than the platform costs. In the demo we run the business case with your numbers.
- Does this replace our EDI — or complement it?
- It complements it. EDI connections to key accounts stay exactly as they are. Syntact takes over the long tail: the majority of customers who will never adopt EDI and keep ordering by email, PDF, or fax. That's exactly where the manual typing happens today.
- How is Syntact different from Workist, Esker, or Conexiom?
- Three things. First, the price in black and white: the platform starts at €800 per month, with published guarantees — no quote after three sales calls. Second, the depth: Syntact doesn't just extract — it validates against your master data and creates the order in your ERP, including phone orders via voice. Third, the platform: after order entry, invoice processing, delivery notes, or your knowledge assistant run on the same foundation instead of you buying the next point solution.
- What about data protection and customer data?
- Syntact runs GDPR-compliant in the EU — in your own cloud or on-premises if you prefer. Order and customer data stay in your systems, and access follows your permission model. We provide the documentation your data protection officer needs.
- What does automated sales order entry cost?
- The platform starts at €800 per month — and the license only starts once you're in production. Setup, inbox, and ERP connection are included in the pilot package, and implementation is covered by the 50/50 guarantee. At 4 to 8 minutes of entry time per order, the license pays for itself from a few dozen orders per day.
The next order is coming for sure. The question is who retypes it.
Minutes of control instead of hours of typing — and no more orders running through returns and credit notes because of a transposed digit.
